Groups, shared mailboxes and catch-all
When to use a group (distribution list) or a shared mailbox, and how to catch mail sent to unknown addresses.
| Group | Shared mailbox | |
|---|---|---|
| What it is | A distribution list: one address that copies each message to every member. | A mailbox with its own storage that several people open. |
| Where mail lives | In each member's own mailbox. | Once, in the shared mailbox. |
| Members | Any addresses. | Users with read, write or send-as rights. |
| Good for | team@ | support@, billing@ |
Groups
Create a group in Groups with an address on a verified domain and a list of members.
Shared mailboxes
Create a shared mailbox in Shared mailboxes and grant each member read, write or send as. Members see it in webmail and IMAP apps alongside their own mailbox. An existing user can also be converted to a shared mailbox (and back) from the user's Overview tab.
Catch-all
On a verified domain, choose one mailbox, alias, group or shared mailbox to receive mail sent to addresses that don't exist. Set it on the domain page; clear it to reject unknown addresses again. Catch-alls attract spam, so use them sparingly.
